Candidate data notice
Last update: 28 May, 2026
This notice explains how candidate information submitted through public packs on role.so is handled. It supplements our Privacy Policy and applies when you submit an application, register interest, upload a resume, or otherwise share recruiting information through a pack created by a recruiting organization using Role.so.
Information submitted in application forms
Public pack forms may ask for details such as your name, email address, phone number, location, current role, links to your professional profiles, responses to screening questions, resume or portfolio files, and any other information requested by the recruiting organization. Only submit information you are comfortable sharing for the recruiting process described by the pack.
Recruiter and organization access
The recruiting organization that created the pack can access the candidate information you submit. Members of that organization may use the information to review your profile, respond to your application, manage hiring workflows, and make recruiting decisions. Role.so provides the platform used to collect and display this information.
Email, webhook, and ATS forwarding
Depending on the recruiting organization's configuration, your submitted information may be sent by email notifications, webhook integrations, or applicant tracking system integrations. These forwarding destinations are configured by the recruiting organization, and their own privacy and retention rules may apply once the information is received by those systems.
AI resume analysis
Some recruiting organizations may use AI-assisted resume analysis. If AI analysis applies to your submission, resume files or resume text you submit may be processed to extract text and generate structured recruiting notes, such as skill summaries, role fit observations, experience highlights, or interview prompts. These outputs are intended to help recruiters review candidate information more efficiently and should not replace human judgment.
If a pack requires AI resume analysis, the form will ask you to acknowledge that notice before submission. If the feature is optional, you may choose whether to allow AI resume analysis for your submission.
Stored extracted text and analysis
When AI resume analysis runs, extracted resume text and generated analysis may be stored with your candidate record so the recruiting organization can review the same results later. The original application details, extracted text, analysis outputs, and processing status may remain available to the recruiting organization according to its retention practices and applicable law.
Recruiting organization responsibilities
Recruiting organizations are responsible for deciding what candidate information they ask for, how long they retain it, which integrations they connect, and how they use candidate information in recruiting decisions. They are also responsible for complying with applicable employment, privacy, anti-discrimination, and records retention laws in their use of the information.
Your rights and contact options
You may have rights to request access, correction, deletion, restriction, or portability of your personal information depending on the laws that apply to you and the recruiting organization. For questions about a specific application or hiring decision, contact the recruiting organization directly when possible. You can also contact hello@role.so for questions about how Role.so processes candidate data through the platform.
